Time Tracking and QuickBooks Interfacing

Functional Summary
Waypoint tracks employee activity in four circumstances. All routed workflow tasks, all campaign tasks and all batch job tasks are logged in the background invisible to users. In addition, users can elect to create a timed task anytime they arrive on the main contact screen. In that case the task is logged as soon as they close that screen and includes the time that screen was open.

A utility is included that will export select data into a text file that can be imported into QuickBooks Pro or Premier. This includes Employees, Vendors, Customers, Vendor Types, Customer Types, Task Types as Invoice Items, ProjectType-MilestoneTypes as Classes, and, of course, task histories. This requires that some QuickBooks configuration information be first entered one time into Waypoint.

Hence, not only is crucial billing information transfered to accounting, but double-entry of most business data is completely avoided. If you are using a different accounting package, this proof-of-concept functionality demonstrates that we can do it for your package too as long as it has adequate importation tools.

If you run a high-end SQL-based accounting package, then we should be able to help build triggers that will keep the two data stores synchronized in real-time.

Case Studies
A local law firm uses the ad-hoc task logging to track billable time spent on its clients. When a client calls, he can search to the client record, turn on the task timer, have the conversation, enter a note documenting the call and close the screen when done. When the screen is closed, a timed task record is created for that client and user that is sent to QuickBooks and appears on the next client invoice.
